Using Gemini to Draft Your Business Plan

When you’re just starting out, writing a formal business plan can feel like climbing Mount Everest. Where do you even begin? That’s where tools like Gemini come in.

Think of Gemini as your super-fast, expert personal assistant who has read every business book and plan ever written. It can take your raw ideas and quickly shape them into a professional document, saving you days of staring at a blank page.

This isn't cheating—it's efficiency. We use AI to get the structure right, so you can focus on making the content brilliant and personal to your brand.

Step 1: Understand What Gemini Does

Gemini is a type of clever computer program called a Large Language Model (LLM).

In layman's terms, it’s a brilliant 'word-guesser' trained on trillions of pieces of text from the internet.

What it can do: It can follow instructions, write in a specific tone (like professional or friendly), and structure documents (like a business plan).

What it can't do: It doesn't know your specific passion, your suppliers, or the exact price of rent on a local high street. You must provide the facts.

Step 2: The Magic Formula for a Prompt

To get a useful business plan draft, you need to tell Gemini four things. This is what we call your 'Prompt.'

Prompt Component

What to tell Gemini Example for your business

1. The Role - Act as a professional business advisor or mentor. “Act as an expert business mentor for a start-up, writing a formal business plan.”

2. The Goal - Define the final output you want. “Draft a complete business plan outline, with placeholders for financials.”

3. The Facts (The most important part!) - Provide the key details about your business.  “The business is called [Business name], it sells luxury, ethically-sourced cosmetics to women aged 25-35 in Liverpool. Our USP is the unique packaging design and the direct sourcing from Asia.”

4. The Format - Tell it how to structure the document.  “The plan must include: Executive Summary, Company Description, Market Analysis, Products/Services, Marketing Strategy, and Financial Overview.”

Step 3: Your Go-To Business Plan Prompt

Use this as a template to generate your first draft. Just fill in the [square brackets] with your information. “Act as a business consultant drafting a formal business plan for a start-up.

The business is [Insert Your Business Name and Type, e.g., a high-end fashion brand].

Our target customers are [Describe your customers, e.g., ambitious women aged 25-35 in the North West].

Our unique selling point is  [What makes you special? e.g., we source all our items directly from ethical suppliers in Asia].

Please generate a concise, detailed plan with the following sections, using clear UK English and no jargon:

1. Executive Summary,

2. Company Description,

3. Market Analysis (mentioning competitors),

4. Products and Services,

5. Marketing and Sales Strategy, and

6. Operational Plan (mentioning sourcing logistics).

Leave spaces where specific financial figures are required.”

Step 4: Refine and Personalise (The Human Touch)  Gemini gives you the skeleton; you put the muscle and personality on it.

Edit the Tone:  Does it sound like you? Adjust the language to match your brand's voice.

Insert Your Numbers: This is vital. Take the plan to Module 1.2 (Financial Projections) and use your actual data for things like costs, sales targets, and pricing. AI can’t do this for you accurately!

Add the Detail:  When it comes to the Operational Plan, drop in the specific knowledge you have already gained about your business giving as much specific detail as possible. The more AI knows about you and your business, the better the result.

Action Point: Before moving on, use the prompt template above to generate a draft of your business plan. It’s better to have a rough draft than no draft at all!

The second Monday in January marks Clear Off Your Desk Day . On the surface, it’s an annual reminder to tidy up your workspace, sort your pens, and file away that mountain of paperwork. But for me, and anyone else living with ADHD , this day is about so much more than just "cleaning." The ADHD "Mental Clutter" I’ll be honest with you: having a messy desk is my default setting. But here’s the problem—when my physical space is cluttered, my output hits a brick wall. For the ADHD brain, every stray post-it note, unwashed coffee mug, or random charging cable is a "distraction signal." My brain tries to process all of it at once, which makes focusing on actual work nearly impossible. A messy desk leads to a messy mind, increased stress, and that dreaded feeling of being overwhelmed before the day has even started. Why this day matters Clear Off Your Desk Day is the perfect excuse to hit the "reset" button. It’s not just about the physical act of dusting; it’s about creating a workspace that promotes mental clarity and creativity. Starting the year with a clean slate (and a clean desk) sets the stage for a much more productive and efficient year ahead. How to get involved Whether you’re a fellow "ADHD-er" or just someone whose desk has become a bit of a dumping ground, let’s use today to refresh our spaces. Here are a few ways you can join in: The "Before & After": Take a photo of your current chaos and then one of your tidy workspace. The transformation is always so satisfying! Decluttering Challenge: Pick one drawer or one corner of your desk to tackle first. You don't have to do it all at once. Productivity Hacks: Once it’s clean, think about what you actually need on your desk. If you haven't used it in a month, move it. Go Green: Use recycled boxes or jars to organise your supplies—it’s better for the planet and your pocket. Let’s see your desks! I’m challenging all our followers to spend 15 minutes today clearing the decks. Share your photos and tag us @onlineguruuk—let’s inspire a desk-clearing movement together!

f you’ve been feeling the pressure to spend your entire week filming and editing videos just to stay relevant, we have some very good news for you. At Social Media Academy , we’ve been looking at the latest data on what businesses are actually posting in 2026, and the results are clear: The era of "video at all costs" is officially over. Here is how the smartest brands are telling their stories this year. The Breakout Star: The Carousel (+24.6%) 📈 Carousels (those "swipeable" posts with multiple images) have exploded this year. They’ve jumped from a tiny fraction of content to nearly a quarter of everything we see online. Why it works: Our data shows that Carousels get 12% higher engagement than videos on average. Why? Because they keep people on your post longer as they swipe through your tips. They are the absolute best way to share educational content or "B2B" advice without needing a film crew. The Reliable Backbone: Images (+7.7%) 🖼️ Don't listen to anyone who says "photos are dead." With nearly 60% of all posts being single images, they remain the reliable backbone of a successful feed. A high-quality, professional photo still stops the scroll better than almost anything else. The Video Reality Check (-34.6%) 📉 This is the big one. We’ve seen a massive drop-off in video volume. It’s not that video doesn't work; it’s that brands are stopping the "filler" content. People are only hitting "record" when they have something high-impact and valuable to say. Quality has officially beaten quantity. Stories and Reels: Strategic & Intentional While Stories are up slightly (+1.6%) as a tool for building "behind-the-scenes" trust, Reels have dipped slightly (-1.1%). The "Reels or Die" panic has settled down. Short-form video is now just one tool in the box, rather than the whole box itself. Expert Insight: Why "The Swipe" is a Win for You At Social Media Academy , we love Carousels because they are a massive win for busy business owners. They are faster to produce than video. They are easier to approve and schedule. They drive more saves and shares because they provide actual value. Want to master "The Swipe"? Not sure how to turn your expertise into a high-performing Carousel? We can help. At Social Media Academy , we offer single-session training on Content Creation & Storytelling . We’ll show you how to create "swipeable" content that builds trust and gets your audience engaging with your brand. Book your Content Masterclass with Social Media Academy today.

At Social Media Academy , we don’t believe in follow-the-leader marketing. We look at the numbers. Our latest data has revealed three major shifts that will define how you grow your business this year. If you want to stay ahead of your competition, here is what you need to know about the 2026 landscape. 1. The Threads Takeover is Real 📈 If you’ve been "waiting and seeing" with Threads, the wait is over. Between January and December, engagement and posting volume on the platform grew by over 300% . It’s no longer a playground for early adopters; it’s a pillar of modern social strategy. The 2026 Strategy: Move your "hot takes," quick tips, and community conversations here. It is the perfect place for text-based engagement that actually gets seen. 2. The LinkedIn "Source of Truth" 🏢 There’s been a lot of talk lately about personal profiles being the only way to grow on LinkedIn. But the data tells a different story: LinkedIn Company Page activity is steadily climbing. In an era of AI-generated noise and "influencer fatigue," people are looking for a source they can trust. Your Company Page has become that source of truth . The 2026 Strategy: Don’t abandon your Page for personal profiles. Think of it as a "Hub and Spoke" model. Your employees (the spokes) generate the interest and traffic, but your Page (the hub) is the verified portfolio that actually converts those leads into customers. 3. The Mid-Week Power Surge 🕧 When you post is just as important as what you post. While Wednesday remains the powerhouse for engagement, Thursday is rapidly catching up as the second most active day for social activity. The 2026 Strategy: Front-load your high-value, "must-see" content for Tuesday through Thursday. This is when your audience is most active and ready to engage. Save your experimental or lower-stakes posts for the weekend dip.

Social Media in 2026: Where Should Your Business Actually Be? If you feel like social media is changing faster than you can keep up with, you aren’t imagining it. We’ve just analysed the Platform Shift 2025 data, and the landscape for 2026 looks very different than it did even twelve months ago. At Social Media Academy , we’re all about making sure you don’t waste your energy on platforms that don’t move the needle. Here is our "straight-talk" breakdown of where the smart money is going this year. The "Big Two" are Changing Facebook remains the undisputed king for local community reach, holding a massive 44.6% of the share. For example, if you are a local shop or service in Liverpool, you still HAVE to be here. However, with a slight dip of -1.8%, it’s no longer about posting for the sake of it; it’s about being an active part of the community. Instagram has seen a significant shift, with a -7.7% dip in volume. The era of "quantity" is over. In 2026, it’s all about Quality Storytelling . One really good, "human" Reel or a series of authentic Stories is worth more than ten polished but soulless grid posts. The Big Winners: X and LinkedIn The biggest surprise this year? X (formerly Twitter) is back with a bang, seeing a 6.1% resurgence . It is once again the go-to place for real-time brand presence and being part of the global conversation. Matching that growth is LinkedIn Company Pages , also up by 6.1% . This is now the essential anchor for B2B authority. It’s where people go to do their "due diligence" to see if you really are the expert you claim to be. Coupled with LinkedIn Profiles (up 0.4%), employee advocacy is a priority for any serious brand in 2026. The New Kids & The Specialist Pillars Keep an eye on Threads and Bluesky . They may have a small slice of the pie right now, but they are the "early adopter" choices for niche communities. If you like being ahead of the curve, these are the places to start experimenting. Don’t ignore TikTok . While its total share is still just 1.0%, the volume of content has tripled year-over-year. It’s no longer just for viral dances; it’s a powerhouse for brand discovery. Meanwhile, YouTube remains a static but solid pillar for those committed to long-form video and Shorts. Our 2026 Strategy Advice: Don't try to be everywhere. Pick the top 3 platforms where your specific niche actually hangs out. Prioritise Trust. With Google Business updates becoming more selective (-3.2%), make sure your profile is "high quality" rather than just "frequently updated." Be Human. Whether it’s a LinkedIn Profile or a TikTok video, people in 2026 want to buy from people they trust, not faceless logos. Confused about where your business fits in the 2026 mix? Book a single-session "Strategy Audit" with Social Media Academy . We’ll look at your current stats and help you decide exactly which platforms deserve your time—and which ones you can safely ignore.

You’re posting, but the audience isn’t responding. You feel like you’re shouting into the void. We’ve worked with hundreds of independent businesses, and the ones who win aren't luckier—they just follow a simple, repeatable checklist. We call these the Four Pillars of Maximum Engagement. If you follow these four simple rules, the algorithms (and your audience) will reward you. Pillar 1: Conversation is Currency Most people treat social media like a megaphone—they shout their offer and walk away. That's wrong! Social media is a two-way conversation . Engagement is the algorithm's fuel. Your Action: Stop posting and start asking. Every piece of content should include a question. Respond to every comment, even if it's just a simple emoji or "Thanks!" The more you talk back, the more the platform shows your content. Pillar 2: Consistency Wins the Day We see clients post ten times in one week, then vanish for three. That doesn't work. The algorithm rewards consistency because it tells the platform that your page is reliable. Your Action: Stick to a simple schedule (like the checklist we gave you!). It's better to post two great pieces of content every week without fail than ten pieces one week and zero the next. Build trust by always being there. Pillar 3: Use All the Tools You can't just post a photo anymore. Every social platform wants you to use all of its shiny new toys: Stories, Reels, Carousels, Polls, and Live Videos. Your Action: Don't just post your main content. Share it to your Stories . Use a Poll to ask your audience's opinion. Use a Reel to show a quick tip. The platforms reward you for using the features they want you to use, giving you a boost in visibility. Pillar 4: Go Back and Dig This is the secret weapon: Don't just engage with the people who comment on your posts. Go out and engage with them first. Your Action: Dedicate time each day to go to your audience's profiles, scroll through their feeds, and leave genuine comments on their content. Like their photos, share their useful posts, and show them you’re listening. That energy always comes back to you! If you're ready to stop being ignored and start seeing real results, you don't need a miracle; you just need a better system. We can show you how to build the habit that turns those four pillars into daily success.

Look, I've seen a lot of changes in the digital world since 2007. I was there for websites, social media, and everything in between. But I’m telling you straight: this AI shift is the biggest opportunity of our lifetime. You're seeing it, you're hearing about it, and you might even be scared by it. But while everyone else is debating or procrastinating, you need to be running. This is why you need to stop messing about and jump on the AI train now. 1. The War Is Already Here (White Collar Too!) People are losing their jobs right now, and this time, the AI is coming for the office work—the admin, the drafting, the repetition. Nobody cried when robots took over the most mundane tasks, but suddenly, when AI touches the manager's job, it's a problem. Here’s the punchline: Nobody owes you anything. This is business; it's war. You need to adjust, figure it out, and use this technology to protect your business. Don't waste time on excuses or silly ideologies. 2. You Are Sitting on a Gold Mine If you’re a small business owner, entrepreneur, or work in marketing or customer service, you are uncomfortably fortunate. You are in the sector that will taste the impact of AI first, hardest, and fastest. This gives you an incredible advantage. Why? Because you are already interacting with the tools and seeing what works in real life, not just in PowerPoint decks. You have the chance to be the loudest, most practical voice in your organisation, but only if you become a practitioner of these tools. 3. The Two Rules to Win: Tech Mastery and Deep Humanity To win the next 25 years, you have to go hard in two completely opposite places: Rule 1: Tech Mastery (The Hands). Don't be the architect who delegates; be the practitioner . I still write the copy for my own posts because you have to understand the tools deeply. Your knowledge of how to use the software is your biggest asset. Get your hands dirty now. Rule 2: Deep Humanity (The Heart). As the AI handles the mundane tasks that used to eat up your time, the human part becomes incredibly valuable. We need to scale the unscalable: genuine kindness, surprise and delight, emotional connection, and showing you truly care about your customer. This is the difference between a real connection and a cold, automated answer. 4. Speed is Your Only Moat While big corporations are still holding meetings about meetings, you, the small business owner, are already running. In business, speed beats scale every time. The window to gain an advantage is right now. The Ultimate Business Truth: Everything in business is bullsh*t except for two things: Your Team (most important) and Your Customer (everything else). Use AI to free up the time you spend on the busywork so you can focus 100% on serving your customers with humanity. The Brand Battle: As technology commoditises service and data, Brand is the ultimate moat . Build your personal brand and reputation now, because in a world where AI can automate everything else, the battle will be fought over who has the deepest, most trusted emotional connection with the customer. This Is Your Moment. This technology sits on the Mount Rushmore of human innovations. It is electricity; it is like when the plane was invented. You are in the right spot, but you have to squeeze this opportunity hard enough . Don't look back in five years with regret. Ready to build a strategy that combines Tech Mastery and Deep Humanity?

I’m telling you straight: What’s happening with AI right now is the biggest opportunity we've seen since the internet first hit retail. I was there for the websites in '97, I was there for social media in '07, and I’m telling you, this is the one you absolutely cannot miss. Most people are still debating the concept, while the smart money is already running. This is the truth you need to understand: 1. You Are Uncomfortably Fortunate. If you are a small business owner, an entrepreneur, or anyone working in marketing or customer service, you are in the perfect spot . Your industry is the one that will be impacted first, hardest, and fastest by AI integration. Why? Because the tools are designed to streamline the very tasks you do every day. This means you have an unbelievable advantage if you choose to act now. You have the chance to be the loudest voice in your industry, simply because you’re a practitioner and you’re experiencing these tools in real life. 2. The Two Rules to Win: Hands and Heart You have to go hard in two completely opposite places—and this is the punchline: Rule 1: Go All-In on the Tool (The Hands). Do not be the manager who delegates AI; be the practitioner . You need to get your hands dirty with every single tool available. Your knowledge of how to actually use the software is your greatest asset. As technology makes things like writing copy a commodity, those who deeply understand the mechanics of the tools will be the ones who win the game. Humility is the pathway to success here—get stuck in and master the tech. Rule 2: Double Down on Humanity (The Heart). As the 'robot' part of your business grows, the 'human' part becomes uncomfortably valuable. The more we lean into AI for the mundane tasks, the more we need to scale the unscalable parts of business: genuine kindness, surprise and delight, emotional connection, and showing you truly care about your customer. This is the Flintstone mentality —it’s the human touch that AI simply cannot replicate, and that is where your market leverage lies. 3. Speed is Your Biggest Advantage. While big corporations are still holding long meetings about their 2026 AI strategy, you, the small business owner, are already running. In business, speed beats scale every time. The window to gain an advantage is right now, and it will not last. You must make the time, cut out the pointless admin, and prioritize mastering these tools. 4. Brand is the Ultimate Moat. As technology commoditises data and service delivery, the only thing that separates you from the competition is brand and reputation . When buying decisions become passive (e.g., an AI agent reorders deodorant for you), the battleground is set on who has built the deepest, most trusted, emotional connection. Build your personal brand now—it's your greatest protection for the future. This Is Your Moment. Do Not Live with Regret. You are sitting in the perfect moment in history. You have the opportunity to transform your business with unparalleled efficiency. Don't live with the regret of letting this moment pass you by. Ready to stop messing about and build the two-sided strategy—Tech Mastery and Deep Humanity—that will make your business unstoppable?
